3401525 - "Spaces and Pages" migration - Frequently Asked Questions

As of release 2402, the SAP Fiori launchpad homepage based on Groups is stated as outdated meaning it should no longer be used and is no longer valid. This also implies that SAP does not guarantee that content displayed on the classic home page is up to date. However, Groups will not be technically removed during the current grace period.

We urge you to finalize your transition to Spaces and Pages at the earliest to avoid business disruptions. If the adoption is not finalized in time, your business users will see an empty SAP Fiori launchpad.

Grace Period: If you have not finished your activities to transition to Spaces and Pages in the meantime, SAP will send you reminders via different channels and change the launchpad settings for Spaces and Pages. SAP plans to change settings with Hotfix Collections (HFC) first in non-production and later in production systems. Note:This is valid for tenants provisioned prior to January 25, 2023.  New systems are provisioned with spaces mode and My Home in SAP S/4HANA Cloud, public edition. Group mode is not available in new systems.

SAP S/4HANA Cloud

1. How to start the migration to Spaces and Pages?

This is not an automatic process and you need to make sure every relevant Business Role has been assigned to a Space with the corresponding Pages.

Please, notice that only business roles that contain business catalogs with apps assigned are relevant for page creation.

2. Where to find an overview of the business roles/business catalogs assignment?

IAM System Information or the Business Catalogs apps can give you an overview of the business roles/business catalogs assignment.

3. Where to find a list of the SAP-delivered spaces?

The attachment "Content_of_SAP_Delivered_Spaces_S4HC_2308.xlsx" of KBA 2970113 provides a list of SAP-delivered spaces with details on corresponding pages, sections, tiles and catalogs for example.

4. How to modify SAP-delivered spaces and pages?

SAP-delivered spaces and pages are read-only. Customer administrators can assign them to custom business roles to be used out of the box. At the same time customer administrators can't edit these, they can  create a copy to adjust the copied space (SAP Help - Assigning and working directly with predefined roles and spaces).

5. How to enable Spaces?

As administrator, you have to decide on the parameters that are enabled/disabled per system using the Manage Launchpad Settings app:

• If you set SPACES On and SPACES_ENABLE_USER On, the user will not get spaces and pages mode by default and every user will be able to toggle between classic mode and spaces and pages.
• If you set SPACES On and SPACES_ENABLE_USER Off, the user will get spaces and pages mode by default and the user cannot toggle between the two modes.
• If you set SPACES Off and SPACES_ENABLE_USER On, the user will not get spaces and pages mode by default and the user cannot toggle between the two modes. In the case that SPACES was set to ON once in the system and/or the user has switched to spaces once, if SPACES is switched to OFF then every user will be able to toggle between classic mode and spaces and pages.

6. Is it possible to undo the Spaces and Pages activation?

Until Fiori Launchpad home page and groups are finally removed from the system, you can undo the spaces and pages activation by setting parameter SPACES to Off in Manage Launchpad Settings app.

7. Can the end user switch between groups and spaces and pages?

If parameter SPACES_ENABLE_USER is On, user can toggle between spaces and pages and classic mode in the User Settings. Please see Managing Your Settings.

Please note that, in this case, the user settings overwrite the custom settings defined in Manage Launchpad Settings. For more information, please check Enabling Spaces.

8. How to enable the new "My Home"?

Since SAP Fiori Launchpad My Home is deprecated and it is highly recommended to use My Home in SAP S/4HANA Cloud. 

The successor is My Home in SAP S/4HANA Cloud Also see SAP note 2970113.

You need to enable SPACES_MYHOME and SPACES_CUSTOM_HOME to enable the My Home space and the new My Home UI.

9. Can I transport Launchpad Settings to subsequent systems from quality system (2SL) or customizing tenant (3SL)?

No, the parameters in Manage Launchpad Settings have to be maintained in every system separately.

This means, you can have different settings in dev/test/prod systems. You can have spaces enabled in test system while you still have classic mode in prod system.

You can use SPACES_ENABLE_USER to allow the users to toggle between groups and spaces and pages for testing purposes during the migration phase.

10. Can the users import their personalization from groups(Home Page) to My Home?

The "Import Apps Now" button in the Apps and Activities section of My Home will only be available the first time the user switches to My Home. For more information, please check Importing Apps and Personalizations from the Classic Home Page to My Home in SAP S/4HANA Cloud.

When switching to SAP Fiori Launchpad My Home, the user will get a message "You can add your apps from the classic home page.Start importing now." where they can take over the personalization. If the user edits the My Home page before importing the personalization, the personalization will be overwritten and the importing will be disabled.

11. How can the user test the import of old personalization feature?

1. Deactivate the Spaces and Pages homepage - by setting parameter SPACES to Off in Manage Launchpad Settings app.
2. Create a new user (or make sure that you are testing with a user that has never access Spaces and Pages homepage).
3. Personalize the classic homepage.
4. Now Activate the Spaces and Pages homepage - by setting parameter SPACES to ON in Manage Launchpad Settings app.
5. The import feature should now be available.

12. Will the apps that are not assigned to a page still be searchable?

Every app the user is assigned to through a business catalog will be available in SAP Fiori Launchpad search, App Finder and All My Apps menu.

13. Why the custom applications are not available in the page?

Custom applications (Custom Tiles, WebDynpro Apps, Variant Tiles, Report apps) will not be automatically available in the SAP-delivered spaces and pages after creating a custom catalog extension of a standard business catalog.

• The users can personalize their pages to add the custom applications.
• If you want the custom app to be available by default for every user, you can create a new launchpad space based on the SAP-Delivered space(SAP Help - Assigning a Space to One Business Role) or you can assign it in an existing custom space.

14. In quality system (2-System Landscape) and development system (3-System Landscape), the custom applications used to be available through business catalog SAP_CORE_BC_EXT_TST before creating any custom catalog extension but they are not available now.

Custom applications are automatically included in the test business catalog SAP_CORE_BC_EXT_TST. This business catalog is only available in quality system (2-System Landscape) or development system (3-System Landscape) and it is not meant to be used productively.

After switching to spaces and pages, the custom applications will not be automatically added to any page. You can still access them through the App Finder or the Fiori Launchpad search but if you want to have them available in any page of the extensibility role space, you need to include them using the Manage Launchpad Pages app.

15. Is it possible to change the tile name?

As user, in the deprecated Fiori Launchpad Home Page, it was possible to rename a tile (Personalizing the Home Page (deprecated)).

However, it is not possible to rename a tile, create a subtitle, or create a description for it as a user in Spaces and Pages (Personalizing a Page).

Please, be aware that if you have renamed a tile in groups mode, once you switch you spaces and pages, the tile will be reverted to the original title.

16. Is it possible to transport spaces and pages?

Yes. 

The adaptation transport organizer (ATO) has to be configured and activated. When you create, copy or delete spaces or pages, the spaces or pages are transported using the ATO. Please note that local changes are not possible at all in a productive system if the Adaptation Transport Organizer (ATO) is configured. In this case, the space assignment in the Maintain Business Roles app can't be edited. Switch e.g. to your quality system/customizing tenant to create pages and spaces. 17. How to download a list of my custom spaces and pages?

It is possible to use the Extensibility Inventory app filtering by Item Types SAP Fiori Launchpad Pages (UIPC) or SAP Fiori Launchpad Spaces (UISC).
