- Is it essential to maintain an IT Contact person to get Initial System Access?
Every customer will have to maintain an IT Contact Person as a key and mandatory contact for the customer with a valid and working email ID. It is of prime importance to have an individual email ID valid, up to date and in working condition to receive emails on time otherwise it might delay the overall project duration. This contact will be the front runner of receiving all the required confidential as well as general communications with respect to the SAP S/4HANA Cloud Public Edition implementation journey for initial logins. This contact will be receiving the initial login mails per system and is also responsible to initiate the on-boarding journey. - After System Provisioning is completed, when can I expect the IT Contact to receive the emails and total how many mails will be there?
Within 24 Hours of signing the contract, the IT Contact maintained for you, will receive the order confirmation email.
For every system being provisioned, there are 3 emails this contact will receive ->
1) Initial Technical UserName and System URL Details -> This is a user who can login to the SAP S/4HANA Cloud Public Edition essentials directly with the URL provided in the same mail
2) Initial Password of the technical user -> This is strictly a confidential password only received by the IT contact person to login to the SAP S/4HANA Cloud Public Edition System directly using the provided technical username details about the identity provider setup over the SAP Cloud Platform with admin access is sent to the same IT contact person
- Is the IT Contact also known as the Initial Admin User?
Yes, the IT Contact is usually the Initial Admin User. It is a personalized admin business user in your SAP S/4HANA Cloud Public Edition system. It's their responsibility to create the first business roles and the first business users. - What is the Initial Admin User's password?
The Initial Admin User's password is set when you log on to the Identity Authentication system for the first time.
The starter, development, test, and quality systems share the same Identity Authentication service, so the Initial Admin User's password is the same for all systems. However, the production system is connected to a different Identity Authentication service. We recommend that you use a different password for the Initial Admin User in the production system. - How to get the Initial System Access for different systems, is there any prerequisite which I need to follow?
For 2 system landscape (2SL) Please refer link here for the prerequisites and system access across the landscape: Initial System Access to SAP S/4HANA Cloud Public Edition in Your 2-System Landscape, It is followed by getting access to the Starter, Quality and Development system and creating business users in each tenant.

After which the customer can create the business users in their starter, development, test and production tenants.
- Is there any significance of creating Business users after getting the system access?
The initial technical user is meant only for temporary use. It is highly recommended creating the employee and business user for the administrator. This business user can then create further employees and their respective business users, once the realize phase is reached. Username, e-mail address, and other available attributes related to the user have to be identical in the SAP S/4HANA Cloud Public Edition system and in your corporate identity provider. - Which value should I enter as the worker ID in the Manage Workforce app?
To avoid complications when integrating with your HR system, we recommend that you reuse the Employee Number from your HR system as the worker ID. If you're using SAP SuccessFactors Employee Central, reuse the employee's or contingent worker's Person Id. - Why is the worker ID for my Initial Admin User in the Manage Workforce app empty? What should I do?
The worker ID of the Initial Admin User is empty and needs to be entered in the SAP S/4HANA Cloud Public Edition system first. - When creating a worker in the Manage Workforce app, I get the error message “Enter missing country/region for employee”. When I select the value help for the Telephone Country/Region or Mobile Phone Country/Region fields, no entry values are displayed. What should I do?
In SAP S/4HANA Cloud Public Edition address customizing is available only after the initial deployment of SAP Central Business Configuration. To resolve this issue you can either create the worker without the telephone details or complete the scoping in SAP Central Business Configuration and the deployment to the SAP S/4HANA Cloud Public Edition tenant first. - What username should I enter in the Maintain Business Users app?
To avoid complications when integrating with your corporate identity provider, we recommend that you reuse the Username from your corporate identity provider as the username in your SAP S/4HANA Cloud Public Edition system. - Can I use special characters for a username in the Maintain Business Users app?
No, the username can contain only alphanumeric characters (A-Z, a-z, 0-9). - What is the maximum length for a username in the Maintain Business Users app?
