Symptom
- As an SAP SuccessFactors administrator I want to purge Audit data from my tenant;
- As an SAP SuccessFactors administrator I want to specify retention period for audit data;
- Before 1H 2024 release, to specify retention period: Go to Admin Center > Manage Audit Configuration or I make changes on the DRTM Audit Data Purge' objects. What will happen after 1H 2024?
- After 1H 2024, SAP will deprecate the use of the Audit Log purge solution in DRTM and in the General Audit, after the data has been transfer to the new tool as part of the migration project - transition to BTP Audit Log Service.

Question #1 - What is the default retention period?
With this transition, we are going to set the default retention period to two (2) years, and the audit logs will automatically purge after this time.
So, if you are fine with the default retention period, then there's no need to take any action. If you have any specific requirements regarding the retention period other than the default two years, you will need to adjust it using the new audit retention UI, which is coming out in 1H 2024 release.
If you do not have time retention periods defined under any of the DRTM Audit Data Purge' objects, it means you are not purging any Read Audit or Change Audit data currently.
To check if you're using the Read Audit and Change Audit features:
- Go to Admin Center > Manage Audit Configuration > Read Audit tab > Read Access Logging
- Go to Admin Center > Manage Audit Configuration > Change Audit tab > Change Audit
If the options are switched off, it means you are not using the audit features, so there's no impact on the purge part. Keeping the default retention period of 2 years is fine.
If these options are switched on, it means you're using the audit features but not the purge features. In this case, setting the retention periods to 0 in the new UI is not appropriate. You cannot disable the purge in the new UI, and you will need to specify or change the retention time based on your business or compliance needs in the new UI.
Question #2 - Could you tell me how to set the BTP solution's audit retention to (3) years?
Yes, you will be able to set a (3) year retention before the audit data is migrated to the BTP solution using the new audit retention UI in the SuccessFactors platform.
The new retention time can be configured in SuccessFactors Admin Center -> Manage Audit Configurations -> Audit Retention, rather than on SAP BTP Neo. The new audit retention UI will be released in the First Half of 2024 release.
