3436185 - The Auto Data Purge has not been Utilised, but the Last Purge Date is Displayed

Symptom

  • When accessing the Auto Data Purge, both Audit Data Containing Personally Identifiable Information (minimum retention period: 180 days) and Audit Data Without Personally Identifiable Information (minimum retention period: 180 days) are not selected and were not even selected in the past.
  • However, there is a date listed below on The last purge was completed at... even though it was disabled before. 

"Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental." 

Environment

SAP SuccessFactors HCM Suite 

Reproducing the Issue

  1. Login to the instance
  2. Go to the Admin Center
  3. Navigate to Data Retention Management. 
  4. Go to the Auto Data Purge. 
  5. Observe both "Audit Data Containing Personally Identifiable Information (minimum retention period: 180 days)" and "Audit Data Without Personally Identifiable Information (minimum retention period: 180 days)" is not checked. But each configuration shows a date for "The purge was last completed at..."

Cause

This is expected behaviour.

Resolution

  • The latest purge was executed on the date showing on the tool, so you can find further information from your instance.
  • As purges are scheduled to run monthly, the purge will just be skipped even though these options are disabled.
  • Only the purge history is displayed on the tool.
