3446072 - External to Internal Candidate Profile Conversion Fails for Rehires - Recruiting Management

Symptom

  • External to Internal Candidate Profile Conversion fails for rehires.
  • Error Message: The external candidate could not be converted. The employee profile for {EMPLOYE_NAME} was created on {DATE}, which is before the hire date {DATE} on the application.
  • The rehired employee has duplicate candidate profiles (one internal and one external).

Cause

  1. The Internal to External Candidate Profile Conversion (Employee to Candidate Deconversion) feature is not in use.
  2. The candidate is using a new external candidate profile instead of the de-converted one.
  3. The candidate was imported/added to the instance directly so that the profile was not converted through the External to Internal Candidate Profile Conversion (Candidate to Employee Conversion) feature.

Resolution

To convert profiles for rehires, the prerequisite is to have both the conversion and the deconversion features; The candidate should use the de-converted external candidate profile to apply for the position.

The conversion is not possible if the deconversion feature is not in use, or if the candidate is using a new external candidate profile rather than the de-converted one. Please merge the external and internal candidate profile using the Manage Duplicate Candidates tool.

External to Internal Candidate Profile Conversion in Rehire workflow:

Prerequisites:

  1. During the previous employment, the candidate profile was converted through the External to Internal Candidate Profile Conversion (Candidate to Employee Conversion) feature.
  2. After the employee's termination, the deconversion job 'Internal To External Candidate Profile Conversion' has de-converted candidate profile from INTERNAL to EXTERNAL successfully.

Workflows:

  1. Candidate applies for a position using the de-converted external candidate profile from the External Career Site.
  2. Recruiter completes the offer approval process and changes the candidate status to Ready to Hire (hirable) in Recruiting.
  3. Recruiter hires the candidate in Manage Pending Hires (MPH).
    *We use RCM-EC integration as an example to explain the workflow. The specific steps may vary depending on the integration you have implemented. Once the hiring process is completed, the following subsequent steps will take place.

    1. In MPH, Recruiter enters the previous Employee ID under Employee Information.
    2. When Continue is clicked, it displays the employee(s) who match the Employee ID.
    3. Selects 'Accept Match' to use the existing Employee ID.


  4. System updates Employee ID (*) and External Candidate User ID in the external candidate profile, and changes the candidate status to Hired in Recruiting.

    (*) The Employee ID field on the external candidate profile is populated with the userSysID from the Employee Profile. If Employee Central is not enabled, it is populated with assignmentId instead of userSysID.

    In this scenario, since the employee was rehired using the existing Employee ID, both the Employee ID and External Candidate User ID are the same ID as before.

  5. 'External To Internal Candidate Profile Conversion' job runs to convert profiles from EXTERNAL to INTERNAL.
