Symptom

This article provides an overview of the basic workflows for External to Internal Candidate Profile Conversion & Internal to External Candidate Profile Deconversion.

Resolution

External to Internal Candidate Profile Conversion (Candidate to Employee Conversion):

  1. Candidate creates a new external candidate profile and applies for a position on the External Career Site.
  2. Recruiter completes the offer approval process and changes the candidate status to Ready to Hire (hirable) in Recruiting.
  3. Recruiter hires the candidate in Manage Pending Hires (MPH).
    *We use RCM-EC integration as an example to explain the workflow. The specific steps may vary depending on the integration you have implemented. Once the hiring process is completed, the following subsequent steps will take place.

  4. System updates Employee ID (*) and External Candidate User ID in the external candidate profile, and changes the candidate status to Hired in Recruiting.

    (*) The Employee ID field on the external candidate profile is populated with the userSysID from the Employee Profile. If Employee Central is not enabled, it is populated with assignmentId instead of userSysID.

    • Candidate Profile - Employee ID
    • Candidate Profile - Change History for extCandUserId (External Candidate User ID)
    • Job Application - Change History for Candidate Status


  5. 'External To Internal Candidate Profile Conversion' job runs to convert candidate profiles using the match criteria configured in Manage Recruiting Settings -> External To Internal Candidate Profile Conversion Settings.
    • Provisioning – Job Details
    • Candidate Profile - Candidate Type: INTERNAL
    • Candidate Profile - Change History for Conversion


  6. System sends 'External To Internal Candidate Profile Conversion Success Notification' to the employee.

Internal to External Candidate Profile Deconversion (Employee to Candidate Deconversion):

  1. Employee is terminated.
  2. 'Internal To External Candidate Profile Conversion' job runs to de-convert candidate profiles from INTERNAL to EXTERNAL.

    Note: Please ensure the Deconversion job runs before Purge Inactive User or Candidate job and is timed so that it can complete before the Purge job runs. If profiles are purged prior to deconversion (such as if the deconversion job fails and the purge job still runs) that there will be no method to recover the profiles; the candidates will need to create new profiles.

    • Candidate Profile - Candidate Type: EXTERNAL
    • Candidate Profile - Change History for Deconversion


  3. System sends the 'Internal To External Candidate Profile Conversion Success Notification' to the candidate.
