3448960 - Top Reasons Why Candidate Does Not Appear on the Dashboard After Initiating from Recruiting - Onboarding

Symptom

  • No Business Process (BPE) error 
  • BP error message: View user validation errors for XXX (XXX) for Onboarding process trigger XXX
  • BP error message: The user who is configured as the recruiting manager is associated with the value XXXXX that does not exist. To proceed, review the Recruit to Hire mapping and make any necessary corrections.

Environment

SAP SuccessFactors Onboarding

Reproducing the Issue

  1. Initiate onboarding for the candidate from RCM
  2. Search for the candidate on the onboarding dashboard but the candidate is disappear
  3. Some of which appears to have an error from Business Process To Do tile

Resolution

If user landed to BP Tile error:

  1. Log in or proxy as the user who is a member of SAP_ONB2_ErrorFlowAdmins dynamic group.
  2. On the Homepage, click on To-Do icon on the upper right corner. 
  3. Click on the Business Process To-Do.
  4. Check if any error message is present for impacted user (you can search via the name or email or process id)

Common issues:

There are multiple possible causes for candidate initiated from RCM is not visible on the Onboarding dashboard. Below we will go through the most common scenarios.

A. Missing Picklist ecEmailType which has not been configured in Picklist Centre.

Refer to the following details to configure the picklist ecEmailType.

B. The primary email provided is in wrong format so the username is considered as invalid.

@Support engineers, please refer to internal memo.


C. Missing mandatory values

All the mandatory fields maintained in Recruit to Hire Data Mapping should be passed from Recruiting. Please update mandatory fields in RCM.

Once the values are maintained, please restart the task from Business Process Tile, referring to the KBA 3008053 - Onboarding initiated from RCM but candidate didn't reach Onboarding Dashboard - Onboarding

Here are some fields with specific requirements:


D. The missing candidates are already hired. There is an archive rule to remove the onboarding process.


E. Manager ID passed from RCM to ONB is an inactive user.

Business process error: "The user who is configured as the recruiting manager is associated with the value XXXXX that does not exist. To proceed, review the Recruit to Hire mapping and make any necessary corrections."

Please check the Data Inspector and Employee Profile to see if the user is inactive in the system. Maintain an active user as the Recruiting Manager for the requisition.

F. There are duplicate Country/Region codes configured for one Country/Region. 

Application error in BPE Process Monitor.

Please check if two different codes are configured for the same Country/Region in manage data, and delete the redundant code.

G. First Rehire Check (Pre-Onboarding Rehire Verification) is triggered 

Please let the responsible users who are assigned in SAP_ONB2_RehireCoordinator group check the task in To-do list.

And complete "Employment Profile Selection" task for this candidate.

H. There's an error of "ECT_HRIS_NEXT_EMPID_NO_UNIQUE_NUMBER" indicates that the system could not get a unique ID at the time the event was triggered.

Please set a value in the field "Next Employee ID Assigned Details" greater than the value assigned to "Maximum Number Already Used as Employee ID for Existing Employees Details. 

After updating, please restart the Job ID from BPE Manage Process Task

Raising a Support ticket:

If the error persists, please raise a Support ticket with the following information.

  1. Company Id:
  2. Support Access (Have permissions to check Recruiting and Onboarding):
  3. Impacted candidate:
  4. Initiate onboarding timestamp:
  5. Confirm if any error is captured by the Business Process tile:
  6. Provide recruiting ID or application ID of the impacted candidate
