3451308 - How To Set Business Partner Number Range in SAP Sales & Service Cloud V2

Symptom

You have Sales & Service Cloud V2 landscape where the Business Partners creation happens locally as well and from external sources like Data Impex Import or Business Partner Replication from SAP S4HANA / ERP

"Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental."

Environment

SAP Sales Cloud Version 2
SAP Service Cloud Version 2
SAP Sales Cloud Version 2 Integration with SAP S4HANA / SAP ERP
SAP Service Cloud Version 2 Integration with SAP S4HANA / SAP ERP

Resolution

To begin with, Number range for Business Partners can be set in below path :

  1. Click on User Menu located in the top right corner.
  2. Navigate to Settings and search for Business Partner.
  3. Under Business Partners section , open Number Range

Note : Business Partners include - Accounts, Contacts , Individual Customers. Business Partner/Employee - Only Employee Business Partner IDs.

How to Set Number Range for Business Partners :

  1. In Standalone Tenant(I.e., you create Business Partners only in the V2 system) : Default Internal Range is delivered by system under "Business Partner". You can change the "From" and/or "To" numbers before you start creating the first BP(Account/Contact/Individual Customer) in the tenant. Same rule is applicable for "Business Partner/Employee"

  2. In Hybrid Landscape(I.e., you create Business Partners Internally in V2 and Import them via Data Impex tool / Replication from SAP S4HANA, SAP ERP) : Default Internal Range is given by system under "Business Partner". If you would like to set the V2 Internal ID of Account/Contact/Individual Customer through an external source (passing the field ID via Data Impex Template / send receiverDisplayID via Business Partner Replication from SAP S4HANA/ERP) - then those IDs should be outside the internal number range set on this UI.

***Example : Internal number range is set as 10-100 then the numbers that can be set in Data Impex Template or sent via Replication should be either less than 10 or greater than 100. If you dont follow this rule , the import or replication fails with an error message.***

Points to Remember

  1.  Current Value keeps increasing when a BP is successfully created / when you simulate the BP creation using Data Impex Tool / when a QC is opened but the creation is cancelled by the user
  2.  You can change the current value on this UI for any practical reasons
  3.  Once a BP is created internally in the system  or imported via template or created via replication - Number Range cannot be changed. System will trigger an error message if you try to do so. So it is strictly  recommended that you properly set the number range in the design phase itself before creating any BP.
  4.  SAP cannot change the number range from backend in any circumstances.
  5.  If you plan to migrate the content from Sales & Service Cloud V1 to V2 via Data Impex tool , and  if you want the same BP ids in both the systems - then you have to follow the rule mentioned above(IDs that you pass in the data impex template should be outside the internal number range set in V2)
