This document covers some basic and frequently asked questions regarding License options in the system.

Resolution

1 - Where to find the Licenses Usage of the System?

Go to Service Control Center Work Center.
Go to User Subscriptions View.

All the different licenses usage in the system are displayed.

NOTE: The license usage is only applied for production tenants.

2 - How License Types Are Categorized/Mapped to Core, Advanced and Self-Service Users?

The license model is divided into three categories: core users, advanced users, and self-service users under user subscription after the 2102 release.

Initially, the license type was differentiated as follows, which is the mapping between core users, advanced users, and self-service users (latest):

Standard Self-Service User
Standard Enterprise User
SCM Enterprise User
CRM Sales Team User
SCM Self-Service User
SCM Team User
Project Manager Self-Service User
Project Management Team User

The license types are now mapped as follows:

Old License Type	New License Type
Standard Enterprise User SCM Enterprise User	Advanced User
CRM Sales Team User Project Management Team User SCM Team User	Core User
Project Manager Self-Service User Standard Self-Service User SCM Self-Service User	Self-Service User

3 - What to do if the users are locked, however they are still consuming a license in the system?

In this case, it is recommended the below steps to synchronize the employee data:

Go to Service Control Center Work Center.
Go to User Subscriptions View.
Click Synchronize Employee Data button.

4 - What to do if the license type in the system is being updated, however they are not correct?

In case there are incorrect license assigned after synchronizing, open a case with the component SRD-CC-CI-CCS, as this might be a synchronization issue in the backend.

5 - How can be determine the percentage of utilization of the licenses assigned to users?

There is no concept of utilization percentage of the user licenses, even if a user does not actively use the system at all, it still consumes a license.

Furthermore, the license purchase can be of type self-service, core and advanced user license, as mentioned in the question #2.

Each license includes specific work center views. The License type for the different work centers and work center views can be checked in the access rights configuration of the system.

Therefore, the license type a user consumes is determined by the work centers view assigned to the user. The system calculates this based on the assigned work centers.

The defined purchased numbers of licenses and assigned numbers of users to a specific license can be seen in the Service Control Center work center.

6 - How to restrict business users to consume license in SAP Business ByDesign?

If a business user is consuming a license, however it should not be consuming this license, the user can be locked to remove the license consumption by following the below steps:

Go to Application and User Management Work Center (in SAP Business ByDesign) or Administrator Work Center (in SAP Cloud for Customer).
Go to Business User View.
Search the respective user.
Click on Edit Attribute.
In the new window, check the User Locked check box.
Click on Save and Close.

Only active business users from the production system will consume a license type in SAP Business ByDesign and will be considered for the billing cycle.

Counted user check box in the Service Control Center work center is a reference to know the overview of license type assignments and the active users in the production system.

When you add a user subscription, you will be able to see the details in the user subscription view of the Service Control Center work center. This view will display the license types, how they are being used, and which users are assigned to each license type.
