This document covers some basic and frequently asked questions regarding Tenant Request Scenarios.

Resolution

1 - How to perform a new tenant request?

The tenant request option is available in the Service Control Center work center. 

The steps can be performed by following:

    1. Go to Service Control Center Work Center.
    2. Go to Systems View.
    3. Click on the Request System Button.
    4. Fill the options with the required information.

The system will display a message with the downtime selected and the service request ID.

Also, refer to the KBA below which describes the types of different requests available in the system.

2 - How to Request a Partner/Reference/Demo Tenant?

The 'request system' button in the Systems view of the Service Control Center work center cannot be used by partners to request new partner/reference/demo tenant. 

Instead, partners should contact the SAP TDD (SAP Test Demo Development Licenses for SAP Partner) team by sending an email to tdd@sap.com to request a new tenant. The request will be validated by the team based on the contract and requirements.

3 - How to Request Tenant Refresh in SAP Business ByDesign?

To perform a system refresh, follow the below steps:

  1. Go to Service Control Center Work Center.
  2. Go to Systems View.
  3. Select the Refresh System Button.
  4. Fill the details for the refresh scenario required.
  5. Click on Ok.

The refresh request is created.

4 - How to terminate a productive tenant?

Due to security reasons, it is not possible to request to terminate a productive tenant in the system UI.

To request the termination of a productive tenant, open a case with SAP with the component SRD-CC-CI-CCS informing the productive tenant URL, tenant ID and the reason for the termination.

5 - How to terminate a test tenant?

The termination of a test tenant can be performed by following the below steps:

    1. Go to the Service Control Center Work Center.
    2. Enter the Systems view.
    3. From the tenant list, select the test tenant required.
    4. Click on the Terminate System button.
    5. Click to confirm the Termination.

The termination request should be displayed in the service requests view of the Service Control Center work center.

Furthermore, it is currently possible in the system to defer the termination of a test tenant by up to three weeks, during which it can be temporarily used both test tenants in parallel.

To define the termination date, a pop-up window will appear when selecting the termination button, requesting the termination date.

Points to Note:

    • The scheduling process is only available for test tenants.
    • The termination can only be defined within 3 weeks from the current date of the request.
    • Test tenant, which is scheduled for termination, will be terminated on the given date.

6 - When should the downtime for a tenant request be defined to avoid conflicts with the CMP?

For service requests, such as refresh and new tenant creation, copy or termination requests, the schedule of the downtime must be outside the CMP. This means either 4 hours before the test tenant CMP starts or 4 hours after the production tenant CMP ends. Avoid scheduling the downtime during the systems CMPs and in between the systems CMPs.

7 - What is and how to check the CMP (Contractual Maintenance Period) of the tenant?

CMP is the contractual maintenance period performed every weekend for the SAP Business ByDesign tenants.

To check the tenant CMP, perform the following steps:

    1. Go to Service Control Center Work Center.
    2. Under Maintenance Schedule View click on List.
    3. On the left top corner in the dropdown list, it can be chosen a non-productive systems or productive systems.
    4. The status of the "type of activity" will be as "Maintenance" and it is displayed as planned or not, as well the relevant start time and duration in UTC time zone.

8 - How to Cancel or Change a Tenant Request triggered from Service Control Center Work Center?

In this scenario, open a case with high priority to the component SRD-CC-CI-CCS. As currently in our system there is no functionality available to cancel or change the request already triggered.

9 - How to Purchase Additional Systems?

In SAP Business ByDesign system a purchase of an additional system can be performed by following the below steps:

    1. Go to Service Control Center Work Center.
    2. Go to Systems View 
    3. Go to Service Requests sub-view.
    4. Click on Purchase additional systems button.

Once the request is raised for purchasing an additional system, this request will go to the license team. It will be reviewed the request and proceed accordingly to assign the new tenant.

Once the confirmation of the license team is provided about the newly purchased tenant, perform the steps provided in the question #1 to request the new tenant.

10 - How to change the tenant requester details?

The tenant requester name and ID cannot be changed. 

This information is provided to inform who have requested the tenant and can be checked by following the below steps:

    1. Go to Service Control Center Work Center.
    2. Go to Systems view.
    3. Select the required system.

The tenant requestor details are displayed under Tenant Requestor section.
