3460181 - Automatic Hire in Recruiting Management

Symptom

As part of the H1 2024, customers can now configure both Recruiting and Onboarding modules to automatically hire candidates directly into Employee Central, without needing to process the candidate in Manage Pending Hires.

This article will cover some behaviors and details from the Recruiting Module perspective.

Resolution

Starting in H1 2024, when hiring a candidate, customers can now skip the Manage Pending Hires process.

Here are some behaviors and limitations of this tool on the Recruiting side:

  • If no rule is created, auto-hire will trigger for all candidates in the "hireable" status (with the "Hireable" flag set in the "Edit Applicant Status" configuration).
  • When creating a rule, it is not possible to set the IF condition to "Always True." If you want to set the rule to always be true, the rule does not need to be configured.
  • If a rule is created and the IF condition is not satisfied when placing a candidate in the "hireable" status, this applicant will follow the regular hiring flow based on the system configuration (either onboarding or managing pending hires).
  • If a candidate is moved to the "hireable" status and auto-hire fails, you can perform a manual hire using the Manage Pending Hires screen. Alternatively, if you fix the issue that led to the failure (e.g., missing data), you can move the applicant out of the "hireable" status and then back into it, and the rule will trigger again. If all issues are fixed, the candidate will be auto-hired this time.
  • For this release, if auto-hiring fails, the system will display this status in the candidate workbench and on the Manage Pending Hires page. However, only a generic message is displayed; there is no specific indication of the failure. The user can initiate the manual process and identify the problem throughout the Manage Pending Hires process.
  • Once the candidate is auto-hired, the candidate workbench will display the "Applicant Hired" status message. This message will remain on the application even after moving the applicant to a different status other than "hired."
