Configuration Requirement to display Out Of office Information

• The instance should be enabled with 'Time Off' feature (Note: Out of office feature is currently not supported for Leave of Absence only enabled instances. Refer Q4.)

• Under Admin Tools -> Company System and Logo Settings, enable the switches:

  • Show Current Absence Status

  • Enable the latest People Profile (Automatically enabled with 1H 2024 release)

• Provide at least 'View' permission for 'Employee Time' object under Manage Permission Role -> User Permissions -> Time Management Object Permissions.

Q1. Why is out of office displayed in Profile Preview & Spotlight even if the employee is not on leave/time off?

• The out of office information considers absences, holidays, and non-working days according to the work schedule. These are used to derive the "Back on" information shown.
• Therefore, it could be that the particular day(s) is a holiday in the holiday calendar, or marked as non-working day in the employee's work schedule.

Q2. Why is the out of office displayed in Profile Preview & Spotlight even if the leave applied is pending approval?

• Out of office will be shown for absences in status approved, pending, and pending cancellation.

• For leave of absence (LOA) absences(with Time off feature enabled), absences with undetermined end date & Flexible Requesting absences, only "out of office" is displayed on the Profile Preview and Spotlight. No "back on" information is included.
• This is planned to be enhanced with below enhancement tickets, but dates are not confirmed. Please reach out to your CSM/CEE to track the progress of the enhancement.
  • TIM-45437 - To support 'Back on' information for LOA absences.
  • TIM-45438 - To support 'Back on' information for flexible requesting absences.

Q4. Why is out of office not being shown in Profile Preview & Spotlight even though the employee is on leave & latest people profile is enabled?

• Currently, the feature is not available if the instance is enabled with Time Off for Leave of Absence (LOA) only.
• Navigate to Admin Tools -> Manage Employee Central Settings, if both "Time Off" & "Time Off for Leave of Absence Only" are enabled, then it means the instance is LOA only. Therefore the out of office feature is not supported.
• For LOA Only instances, work schedules and holiday calendars are not assigned to employees. As the new out of office indicator considers those, it doesn't work with LOA only feature.
• It is planned to be enhanced with enhancement ticket number TIM-45436, but dates are not confirmed. Please reach out to your CSM/CEE to track the progress of the enhancement.
• KBA: 3466158 - Out of Office Information Is Not Displayed In People Profile

Q5. Why is the People Profile displaying the out of office with start date and end date, and not 'Back on' information like Profile Preview & Spotlight ?

• The legacy People Profile still works same as before the 1H 2024 release. Currently, the change is only on the new Profile Preview and the Spotlight view.

Q1.  Why is out of office displayed in Quick Cards even when the latest people profile is disabled?

• Refer KBA 3463924 - Out of Office displayed in Quick Card when employee is not on Leave of Absence 

Q2. Why is Out of office icon displayed in Latest Org Chart even though Latest People profile is disabled?

• This is expected behaviour and as per design.
• Out of Office information is also displayed on the org chart.
  • In the latest org chart, absences, public holidays, and non-working days are considered like on the latest people profile
  • On the legacy org chart, only absences are considered.
• It is recommend that you always turn on or off the latest Org Chart together with the latest People Profile for optimal user experience. (Review handbook Enabling the Latest Org Chart)
