3473463 - Audit Data Transition to BTP Audit Log Service in 1H 2024

During the migration from the old audit system to the new BTP audit solution, there will be a brief period where purged historical audit data might reappear in the new audit system's audit reports.

SAP SuccessFactors HCM Suite

Reproducing the Issue

Audit Enablement History :

  • The customer enabled audit feature on June 1, 2021.

Migration Starts:

  1. Audit Data Migration to the new BTP ALS starts on June 1, 2024.
  2. An initial snapshot of last 3 year's audit data from June 1, 2021, to June 1, 2024, will be created.

During Migration:

  1. The customer performs a "DRTM Audit Data Purge" for a user on June 15, 2024.
  2. Based on the audit data retention policy (e.g., customer set retention time to 1 year), then audit data older than 1 year will be purged.
  3. This action will delete audit data for the user from January 1, 2021, to June 15, 2023, in the old audit system.

Post Migration:

  1. Audit Data Migration is completed on June 30, 2024
  2. The initial snapshot (June 1, 2021 - June 1, 2024) will be loaded into the new BTP audit system.

Outcome Issue:

  • As a result of the migration, the user's audit data from January 1, 2021, to June 15, 2023, will reappear in the new BTP audit reports after the data has been migrated.

The new BTP Audit Log Service will automatically purge this reappeared data shortly after the migration, ensuring continued compliance with data retention policies.

Additional points:

  1. Understand the Purging Process
    • The reappearance of old purged audit data for the user (January 1, 2021 - June 15, 2023) in the new BTP audit system is a temporary situation.
    • The automatic purging mechanism in BTP ALS will ensure that data retention policies are enforced, and outdated data will be removed promptly.
  2. Temporary Audit Data Reappearance
    • Expect the reappeared audit data to be present for a short period post-migration.
    • This data will not impact the overall compliance with data retention policies, as it will be automatically purged soon after the migration.
  3. No Manual Intervention Required
    • Customers do not need to manually delete the reappearing old data.
    • This reappeared audit data will be automatically purged by the new BTP ALS tool within a few days, the BTP ALS tool will offer an automatic purge process of audit data, there will no longer be a need to manually setup purge jobs.
