3474672 - How to perform a User Import via Data Impex Tool

Symptom

This KBA outlines the basic steps and the information required to perform the Import of Users data.

Environment

SAP Sales and Service Cloud Version 2

Resolution

Assuming you downloaded the Latest User Entity Template as it is Best to use the latest template all the time.

Scenario : You want to Import Business User Data and it's Business Role.

  1. Extract the Users Complete Entity Template.
  2. Fill the below mentioned columns in the User file.
    • External_Key column. (This entry should be the same in the User_User_Role Template under Parent_External_Key column since it is used for association of the Role.)
    • Maintain the Status column as ACTIVE
    • User Type Column as USER
    • Maintain the Employee ID column with UUID Format/Technical ID of the Employee (This information can either be exported via Data Impex or checked by accessing the Employee screen).
    • And Maintain the column Security Policy_Technical ID column with UUID Format/Technical ID (This information can be acquired from Network Trace).
  3. Now, open the User_User_Role file and maintain the values in the following columns:
    • Parent_External_Key (The entry maintained here is used to map the entry maintained in the User file column 'External_Key' for associating the Business role to a user).
    • Maintain Role ID column with respective UUID Format/Technical ID (This information can be acquired from Network Trace).
  4. Now, zip all the files in the same location.
  5. Navigate to Data Impex Tool and perform the Complete Entity Import [Depending on the File Type (csv or excel)].
  6. The Import will be a success and the relevant users will receive the email "New User Created" .
