3476840 - Candidates skipped the Orientation Step and US I9 Section 2 is blank - Onboarding 1.0

• US I-9 Section 2 triggered for the candidate with empty fields
• Candidate has skipped Orientation Step and went straight to All Documents Submitted.

Pre-requisites:

Ensure that the instance has the following configuration in Superadmin:

• Processes - Onboarding: Configured with 3 steps - PostHire Verification Step, New Employee Step, and Orientation Step.
  • Orientation Step has no filter conditions
• Auto-follow signature step - True

In the candidate's HRData ensure that:

• RemoteHire should be 'No'.
• Receipt must be 'No'
• MA_I91_HaveDocuments is 'Yes'

Product Defect:

• Based on the pattern in the candidate's audit trail, that issue could be due to clicking of the "Submit all document" button multiple times at the end of the New Employee Step.
• At the same time, the new hires could be facing environment slowness, hence making them click the "Submit all document" multiple times causing Orientation Step to skip and directly finishing the process.
• This flow of skipping the Orientation Step can be seen in the audit trail of the affected candidates.
  • The events STEP_NES_END, STEP_ORS_END, and PROCESS_END all have the same timestamp:

WORKAROUND:

1. We can delete the US I9 Section 2 for the candidate.
2. Then, restart the onboarding activity of the candidate back to the Orientation Step. In this case, the responsible user can go through the orientation step panels and fill out all the details.
3. Finally, forms will be triggered and signed by the admin/manager.

NOTE: If the system already triggered an Everify step earlier, executing the steps above will trigger a new e-verify activity. Instead of completing this E-verify activity, it can be instantly deleted so no new case number is created for the candidate to avoid duplicate cases.

• The Engineering Team has introduced a code fix which is scheduled to be deployed between 02-July-2024 to 18-July-2024
• NOTE: Roadmap disclaimer applies

Continue to use the available workaround until the permanent solution is deployed.
