Manage Documents form is getting initiator user ID instead of New Hire ID. The expectation is to get the New Hire ID for any form of the given candidate.

SAP SuccessFactors Onboarding

Cause 1: Expected behavior if there are no signatures configured on the added document.

Cause 2: Expected behavior if there are signatures configured on the added document, but these documents are being signed via DocuSign.

Solution 1: This is the current system behavior. If the forms are not signed, the system uses the initiator's ID for the "Uploaded By" field, as there is no signature data available.

Solution 2: DocuSign is an external signing service. When documents are signed, they are returned to the SAP SuccessFactors system and uploaded in the backend using the onboarding admin's credentials.

While the "Uploaded By" field shows the admin, the actual document owner or subject user is always the candidate. This ensures the document remains tied to the candidate’s profile.
