3495155 - Error when adding the Related User to an administrator's record

Symptom

At an admin's record, while trying to save the Related User info, an error happens:

"The specified Related user is already mapped to another Admin."

Environment

Reproducing the Issue

  1. Log into HCM > navigate to Learning Administration > System Administration > Security > Administrators >
  2. Search for the required admin ID > open the record in the edit mode >
  3. At the 'Related User' field, add the user ID > hit 'Apply Changes' > the error happens >
  4. However, when making an admin search (filtering by the user ID in question as 'Related User' and Status: Both), there are no results >
  5. At People > Users > search for the user ID from #3 above >
  6. Open the user's record >
  7. Search for the 'Related Admin' field to find out the admin ID >
  8. Back to System Administration > Security > Administrators > search for the admin ID in question >
  9. There are no results.

Cause

The error happens when a user record is being added to an admin as Related User but this user is already related to another admin.

Since 2023, some standard Learning admins' records (HOSTING and AUTO-SCHEDULER) are no longer visible at Learning Administration > System Administration > Security > Administrators. That is, those admins' records were not deleted: they still exist and can be found in the database, they only cannot be seen in the UI.

Hence, when the affected user is related to the admin IDs HOSTING or AUTO-SCHEDULER, because these admins' records cannot be accessed through the UI, then it's not possible to manually remove the Related User info from them (what would allow the user to be associated to other admin).

Resolution

Using the Administrator Connector, it's possible to remove the Related User from the hidden admins, by associating to them a new Related User (which can be a sample/dummy user that already exists in the tenant, or a new user record can be created for it).

The minimum columns to provide through the input file are the following:

LOCKED|USER_NAME|STUD_ID!##!
N|HOSTING|<sample_user_created>!##!

Once the admins HOSTING or AUTO-SCHEDULER are updated with the dummy Related User, the affected user will no longer be associated to an admin record and the error faced initially should no longer happen when associating the user to the required admin.
