3505437 - Behavior of Seat Reservations for a Class in Learning

Symptom

This KBA explains how the system behaves when a Class has Seat Reservations created for a User Group/Organization and how that affects the Registrations of Users outside of that group/organization, as well as what the numbers in the fields of Enrolled; Reserved Seats; Reserved Seats Filled; and Open Seats refer to.

Reproducing the Issue

  1. Open or add a Class with a number Maximum Enrollments such as 10
  2. Under Seat Reservations add 10 reserved seats to a particular User Group/Organization
  3. Observe how some Users of that User Group/Organization register then cancel their registrations
  4. Observe that Users outside of the User Group/Organization are also able to register for Seats in Class until the 10 Seats are filled up

Cause

This is expected behavior of the system. Seat Reservations for a Class can allow a certain group of Users to register without having to compete for the available Seats with Users outside of their group. However, if they cancel their registration and give this right up,  the system allows other Users to fill these seats. 

Resolution

Seat Reservations are not suitable for excluding Users from registering to Classes, only to ensure that a group of Users have seats reserved for them. If it is desired that a group of Users do not register for a Class, it is best done with the use of Libraries or even Security Domains, ensuring that these Users do not have access to certain Items and Classes.

Explanation of the numbers displayed in the different fields below:

Enrolled: shows the number of Users currently enrolled in a Class

(Under Seat Reservations) Reserved Seats: shows the amount of Seats an Admin has reserved for a certain User Group

Reserved Seats Filled: contains the number of cancelled registrations as well. Once a User from a User Group cancels their Registration, the Reserved Seat does not get added back to reservations for User Group only. Any User that has Library Access to Class in question can use the Seat after a cancellation from the User Group.

Open Seats: shows how many Seats are available of the Maximum Enrollments number
