3507861 - Custom Tasks generating duplicated Email Notification - Onboarding

Onboarding or Offboarding process has two configured Custom Tasks and for each task there is a custom email, using the same trigger with filter rules, but the emails are being send twice for each task.

Currently it is not possible to add a filter rule to set just one custom task. Example If you have two different custom tasks and two email triggers the emails will be duplicated, resulting in four emails.

Example for two custom tasks if only one email template is being used, it will trigger two emails due to two existing tasks.

To troubleshoot this kind of issue, please create a business rule trace  and test by creating/completing tasks.

Please use the service user as the login user.

To find the service user, please go to update Onboarding and Offboarding process.

And you will find the logic of system by reviewing the rule trace.

So it is suggested to create only one email template for all custom tasks.

And use tokens to tell recipients which task is created/completed.

You can use the following email notification templates to create custom email notifications for your onboarding and offboarding tasks:

• (OFB) Custom Offboarding Task Initiated Template

• (OFB) Custom Offboarding Task Completion Template

• (ONB) Custom Onboarding Task Initiated Template

• (ONB) Custom Onboarding Task Completed Template

Note: Task Completed notifications can only be configured for mandatory custom tasks assigned to onboarding participants and responsible users. They can’t be configured for tasks assigned to new hires and employees leaving the company.
