3509671 - DRTM Succession Management: The User Master Data Will Be Excluded From The Application Data Purge

Symptom

After running a Data Retention Time Management (DRTM) Succession Management Data Purge request, a record was excluded with the warning: "The user master data will be excluded from the application data purge"

Reproducing the Issue

  1. Run the DRTM Succession Management Data Purge request.
  2. Once completed, download the report from the purge request tool.
  3. Downloaded report shows the warning message: "The user master data will be excluded from the application data purge"

Cause

  • There is no module data which meets the purge criteria ser for the DRTM Succession Management Data Purge.
  • DRTM Succession Management Data Purge is a module purge so it will not purge user's master data, so only the module data will be purged via this module purge type.

Resolution

1. There is no module data which meets the purge criteria ser for the DRTM Succession Management Data Purge: Confirm the Data Retention Period

  1. For the impacted user, make note of the following:
    • Whether the user is Active or Inactive
    • The country the user is working/living in
  2. Go to Admin Center > Manage Data
  3. Select DRTM Succession Purge and DRTM Succession Purge: Succession Nominations (Succession Nominations) or DRTM Succession Purge: Position Incumbent (Position Incumbent).
  4. Review the Time Configuration for Country/Region-Based Data Retention table:
    1. Locate the country applicable to the user
    2. Reference the Time Unit and Active/Inactive Period columns to see if the user's status falls outside of the retention periods

Note: The Active Period column only applies to active employees, and the Inactive Period column only applies to inactive employees.

Time Unit is the unit used to calculate retention times. In most cases, you can choose months or years. In some cases, you can also choose days.

Time Period is the length of time (in days, months or years) for which data in the selected purge object is retained. For example, if you select a time unit Year , an active period of 5, and an inactive period of 3, then the data is retained for five years while the user is active and for three years after the user becomes inactive.

The below configuration means that when purge type is Succession Nomination, the system will process based on below logic:

For nominees belonging to country "France":

  • active user: will get purged if it hasn't been any change in the nomination record from last 1 month as the TimeUnit selected is 1 month
  • inactive user: will get purged if it hasn't been any change in the nomination record from last 1 month as the TimeUnit selected is 1 month

The similar processing logic is applied to purge type possition incumbent as well, based on your customzied configuration of country, time unit, active period and inactive period.

2. DRTM Succession Management Data Purge is a module purge so it will not purge user's master data, so only the module data will be purged via this module purge type: As the Succession purge cannot purge user master data, this is the current system expected behavior.
