3518978 - Error in Posting Mapping Account Determination to Employee in SAP Business ByDesign

Symptom

During the migration of account determination groups to an employee in SAP Business ByDesign, an error occurs stating that the employee ID does not exist in the SAP cloud solution.

The employee ID is already created in SAP BYD, but the system fails to recognize it during the migration process.

  • The error message is "Employee 'XXXXX' is missing; create or migrate employee first".

Environment

Reproducing the Issue

  1. Go to Business Configuration work center
  2. Navigate Access Activities view
  3. Select Migration of Suppliers.
  4. Go to Migrate account determination groups payables using the migration tool.
  5. Upload required migration file.
  6. The error message "Employee 'XXXXX' is missing; create or migrate employee first" appears.

Cause

The problem occurs because the system fails to recognize the existing employee ID during the migration, which has created an initial space in the Employee ID, causing inconsistencies.

Resolution

To Resolve this issue follow the below steps.

Terminate the Employee.

To start the termination process

  • Go to Personnel Administration work center
  • Go to Regular Tasks view
  • Select Termination.

Ensure you include an asterisk (*) before the employee number XXXXX when inputting it. 
After terminating the employee, you can rehire them, but assign a new employee ID. Although the rehire functionality allows for the same employee to be rehired with their original ID, using the same ID may result in space-related issues.
