3524800 - Server Side Integration (SSI) - Appointments Set As "Cancelled" or "Completed" Behavior

Symptom

This KBA explains how 'Cancelled' and 'Completed' appointments are handled, whether they are replicated to external customers, and how they are treated after 30 days.

Environment

  • SAP Cloud for Customer
  • Server Side Add-in Integration

Resolution

  • For appointments marked as "Completed," they will be synchronized during the sync process, and an email will be sent to the participants.
  • For appointments marked as "Cancelled," they will not be synchronized, no email will be sent to the recipients, and will be disappeared from the C4C calendar.
  • Regarding 30-day sliding window: appointments with a "Completed" status will be synchronized, while those marked as "Cancelled" will not be synchronized.

Canceling or deleting Appointments and Visits in SAP Cloud for Customer or MS Exchange results in different outcomes for the calendar items in the opposite side. For example, an action of canceling/deleting an appointment in SAP Cloud for Customer causes an end result for its appointment in MS Outlook (the opposite storage).

Note: There is no difference between Cancel or Delete actions for the SSI. Both of them bring the same result in terms of the SSI synchronization

Canceled meetings in Outlook are basically deleted meetings. After you press "Send cancellation", it would delete this object from Outlook calendar. When the sync runs after, it detects that there is no meeting and cancels it in C4C instead of deleting it. It does not synchronize other data such as notes, for example.
