3541704 - "Your report exceeds the Excel row limit of 1 million" error while exporting table report offline to Excel

Symptom

  • User receives "Your report exceeds the Excel row limit of 1 million. Please choose the CSV format or reduce the amount of data by applying filters in the report." error while exporting table report offline to Excel.
  • Applying runtime filter does to narrow down the results does not work

Environment

  • SAP SuccessFactors HCM Suite
    • Analytics & Reporting (Ad Hoc, YouCalc, ORD)
      • Adhoc Reports & Report Builder 

Reproducing the Issue

  1. Login into the instance
  2. Run a Table report online
  3. Warning below:
    "This report has *number of cells ("number" columns * "number" rows). A report that returns 1,000,000 or more cells can’t run in online mode. You can schedule reports with more than 1,000,000 cells in offline mode only. If you want to run this report online, reduce the number of cells, either by applying filters on the report (to reduce the row count), or by changing the report definition (to reduce the column count). Please contact the author of the report or the reporting administrator for further assistance."

    Next: Select that report to run offline to Excel and receive "Your report exceeds the Excel row limit of 1 million. Please choose the CSV format or reduce the amount of data by applying filters in the report." error

  4. Apply a runtime filter to reduce number of rows to have less than 1 million cells of data
  5. Still the same message shows up when trying to run the report offline to Excel

Cause

This is due to the enhanmcemnent that came with 2H 2024 SF release:
Minor Visual Changes in 2H 2024

In the previous version, attempting to schedule a Table Report in Excel that exceeded 1 million rows didn't throw an error. Instead, the process took many hours and timed out without displaying any message.

 

In the current version, when you schedule a Table Report in Excel with more than 1 million rows, a message appears stating, "Your report exceeds the Excel row limit of 1 million. Please choose the CSV format or reduce the amount of data by applying filters in the report."

Resolution

Although this message is expected for results that have over 1 million rows, there has been a gap identified with runtime filters. When applying a runtime filter to narrow down the results to be less that 1 million rows, it will still not allow to schedule the report with the same error. Engineering team is already aware of that and working on the fix.

As a Workaround:  Add a filter at the query level following below steps:

  1. Edit the report > Select 'Filters' tab > add filters to reduce number of rows
  2. Run offline to Excel
  3. Report will export successfully without error

Permanent Fix will be deployed on 26 Nov for Preview Data Centers & 28 Nov for Production Data Centers.
