Symptom
The business requirement is to grant only View permission to users responsible for the New Hire Data Review (NHDR) step, for portlets that are exclusively completed by candidates, such as Dependents.
However, even though these portlets are not mapped from the Recruiting system, when a user attempts to initiate the NHDR step, the portlet is displayed with grayed-out fields, preventing the user from submitting the task and completing this step.
Environment
SAP SuccessFactors Onboarding
Cause
This is an expected behavior due to the current system design.
Resolution
Since this information is not mapped from RCM, granting only the "View" permission to the admin will cause this portlet to be automatically displayed. The system interprets the "View" permission as an indication that the responsible user should 'view' the fields.
In this context, we propose the following possible solutions:
-
If responsible users only need to bypass this section:
Grant the "Delete" permission. This will allow users to proceed by deleting this portlet, enabling them to continue without issues. -
If only the "View" permission is to be granted:
Navigate to Manage Business Configuration and configure the relevant fields as "not mandatory." This ensures users can submit the task without encountering further issues. -
Alternative solution:
Remove the "View" permission for responsible users. This will prevent the portlet from appearing to them, thus avoiding any process blocks.
Additionally, regarding the observed behavior: when the "Edit" permission is granted, only the portlet name is displayed without the fields. This is expected behavior, as verified in our demo environment.
