3553994 - Discrepancy in Active Membership Count after Adding Inactive Users in Manage Permission Groups

Symptom

  • After importing a static permission group, the Active Membership column count displayed on the Manage Permission Group tool differs from the number of successful records indicated in the notification email.
  • When creating a dynamic permission group, the number of users in the Active Membership column count does not meet the expected number of users (active and inactive included).

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Environment

SAP SuccessFactors HCM Suite

Reproducing the Issue

  1. Go to Manage Permission Groups.
  2. Select the permission group with the inactive users.
  3. Click the number on the Active Membership column.
  4. See that only the active users are listed.
  5. Click the Group Name of the permission group and you can see that there are more users listed on the Description column of the permission group compared the number displayed on the Active Membership column.

Cause

This is an expected behavior due to the recent enhancement on the user count for the column of Active Membership on the Manage Permission Group page. This applies to both static and dynamic permission groups.

Resolution

Only active users will be counted and listed on the Active Membership column on the Manage Permission Group. However, this does not mean that the inactive users cannot be a part of a permission group.

You can check if an inactive user is a member of a permission group by these two options:

  • Running an "RBP User to Group report" via Report Center: steps are documented here on 2505905 - Reporting on Users Assigned to an RBP Group and can be applied on both static and dynamic permission groups
  • Checking the Definition column when a permission group is expanded/clicked: however, note that this would be needed to be checked manually as there's no filtering for this user lists. Moreover, this can only be applied for static permission groups.
