3556747 - Fields from Candidate Profile More Information Portlet Not Mapped to New Hire Data Review - Onboarding & Recruiting

Symptom

The fields from the Candidate Profile More Information Portlet are not mapped to the New Hire Data Review.

Environment

  • SAP SuccessFactors Recruiting Management
  • SAP SuccessFactors Onboarding

Reproducing the Issue

  1. Map a Candidate Application Template field using Recruit-to-Hire Data Mapping.
  2. Check the More Information Portlet of the candidate and verify that the data is maintained.
  3. Initiate Onboarding from Recruiting.
  4. The data is not populated in New Hire Data Review.

Cause

For the More Information Portlet on the Candidate Profile page:

The Candidate Profile's More Information portlet is not part of the 'Candidate Application Template'. It only contains the data from Candidate Profile fields, and this data will not be sent to Onboarding.

For the More Information Portlet on the Application page (Legacy Applicant Workbench):

There are two possible causes:

  1. The field does not exist in the particular Application template.
  2. The field exists in both the Application template and the Candidate Profile template, but the data is only maintained in the Candidate Profile.

The Application's More Information portlet stores a snapshot of the Candidate Profile's More Information fields when the application is submitted.

Only certain standard Application fields listed in the KBA 3224351 are displayed within the More Information portlet. Those fields also need to be defined in the Application template.

Other standard and custom Application fields are all displayed within the Application portlet, which is located in the middle part of the page. This means that the fields visible in the More Information portlet are actually belong to the Candidate Profile Snapshot, and this data will not be sent to Onboarding.

Resolution

For the More Information Portlet on the Candidate Profile page:

In Recruit-to-Hire Data Mapping, the 'Candidate Application Template' refers to the template of Job Application in Recruiting, not Candidate Profile.

Please define the field in the Application template.

  1. Define the Field ID in the particular Application Template. KBA 2847135 - How to add a new Field in a Template via Manage Templates - Recruiting Management
  2. Provide write permission to the Application field. KBA 2644504 - How to update permissions for Job Application fields via Manage Templates Feature - Recruiting Management
  3. Refresh the metadata using 'Admin Center > OData API Metadata Refresh and Export'
  4. Open the candidate application from the job requisition and update the field in the Job Application portlet.

For the More Information Portlet on the Application page (Legacy Applicant Workbench):

Please make sure that the field exists in the particular Application template, and the operators or candidates have been given the write permission.

  • Candidates should go to 'Jobs Applied' to update the field after applying.
  • Requisition operators should go to the Application page from the Job Requisition to update the field.

For Synchronization between Candidate Profile and Job Application:

When the same Field ID has been defined in both Candidate Profile Template and Application Template, the data can be synced from the Candidate Profile to the Application. However, this synchronization only happens once when the Application is submitted in the following scenarios.

  1. When the candidate applies for the job requisition from the career site.
  2. When the candidate is forwarded to the job requisition through the option called 'Forward as Applicant'.

Subsequent updates to the Candidate Profile will not automatically update the data in the Application. The data must be updated in the Job Application.

If the candidate is a Non-Applicant, the synchronization will not happen. The candidate needs to submit the data when applying, or the requisition operators can update it in the Job Application.
