Symptom
- The behavior of Master Data Purge for users with multiple employments
- Inconsistent results are observed from the DRTM Master Data Purge for employees with multiple employments.
- Some employees with employment in countries with defined retention periods and in other countries without defined retention periods are inconsistently included in the purge preview report.
Environment
SAP SuccessFactors HCM
Cause
What is considered for the user to be included/excluded in the report with multiple employments are:
- The inactive period (termination date on Job Information/Employment Details > as per KBA 3490948) AND
- If the employment you are trying to purge is/isn't considered the main one - the main employment cannot be deleted before secondary jobs.
So for example, let's say there is a user with 2 employments:
- One job at Country X, that terminated in 2006, and there is no retention period set for this country.
- Another employment at Country Y, that terminated in 2009, with the retention period for this region set for 5 years.
In this case, there are to possible behaviors:
- If you set COUNTRY X as the main employment for this user, then COUNTRY Y employment data should be purged.
- But if you set COUNTRY Y as the main one, then none should be purged because main employment can not be deleted before secondary jobs.
Resolution
To verify what is the main employment of each user, you can observe the default job selected when accessing the user profile.
To manually adjust the main employment, you can use Secondary Assignments. For that, you can go to: Manage Data > Create New > Secondary Assignment (as per KBA 2788892).
NOTE:
- In the case of a global assignment, the "main" will always be the home assignment. This is because one assignment is dependent on the other. Without the home/main assignment, there would be no global/host assignment.
- On the other hand, concurrent employment works a bit differently. Here, one employment is independent of the other. We designate one as Main just for order, but if we change the main, we can then manage or delete the others.
