3564165 - In Verify General Journal Entries app, journal entry is directly posted without approval from administrator

Symptom

In “Verify General Journal Entries” app, journal entry is directly posted without approval from administrator. The expected behavior is that journal entry should not be posted if administrator didn't approve the journal entry.

Cause

The workflow used in this issue has some incorrect configurations. The configurations of the workflow can be checked in “Manage Workflows for Journal Entry Verification - In General Ledger” app.

Resolution

Go to “Manage Workflows for Journal Entry Verification - In General Ledger” app, “Steps” tab.

Below is an example of standard configurations. Please adjust some of the configurations based on business requirements.

Step 1:

Step Type: Verify General Journal Entry

Recipients tab:

Role: Group 1 for Verifying G/L Journal Entries

Step to be completed by: Please select the option based on business requirement. This defines whether the approval means a journal entry has to be approved by all administrators in the group or the journal entry only has to be approved by one administrator.

Click “create” in step 1.

Click “create” to add step 2.

Step 2:

Step Type: Post General Journal Entry

Click “save” and activate the workflow.

Then the workflow should be working as expected, which means the journal entry will be in submitted status instead of posted status before being verified.
