3569067 - What makes a user to be part of the All HR Managers access population in a Permission Role?

Symptom

  • An employee has a Permission Role where the Access Population is 'All HR Managers' but this employee is not an HR Manager in User Data File.
  • Why an employee who is HR in User Data File does not have a Permission Role where the Access Population is 'All HR Managers'?
  • Not able to determine why an employee is granted to a Permission Role where the Access Population is 'All HR Managers'.

Environment

SAP SuccessFactors HCM Suite

Reproducing the Issue

Example of Permission Role with Access Population 'All HR Managers':

  1. Go to View User Permission
  2. Search for a user and click on View Permission

Or:

  1. Go to Role-Based Permissions Troubleshooting Tool
  2. Inform Access User 1 and Access User 2 and click on Search
  3. On the Search box enter a permission or role and click on the Search icon

Resolution

The 'All HR Manager' logic to grant the Permission Role is:

  • The user is marked as HR of any employee or onboardee user (active only, it means, status value is 't' (active) / 'T' (active_external) / 'e' (active_external_suite) in Data Inspector -> Table_USERS_SYSINFO -> value under "Valid" column) or manager of HR Manager (role set with level up)
  • The status of the user is active

The RBP's check on HR setting is based on the table "Table_USERS_SYSINFO" which can be found in Data Inspector tool:

  1. Go to Data Inspector
  2. Select Table_USERS_SYSINFO from the Entity dropdown
  3. Select 'HR', 'Equals' and input the User ID of the HR under the Define Filter Criteria and click on Search Data to verify the value under the Valid column:

The above screenshot shows an active user who has the Permission Role from the example provided in the above 'Reproducing the Issue' section.
