3573487 - How to create XML file for EU OSS (One Stop Shop) Tax Audit Report for Germany

Symptom

With Version 2502 an XML file can be downloaded with information which can be used to fill the Excel File published by the German Federal Ministry of Finance.

Reproducing the Issue

Prerequisites:

You have scoped in EU OSS Tax Audit Report. 

  • Go to WOC Business Configuration.
  • Select the project and click on Edit Project Scope.
  • Go to step 4 Questions.
  • Select Financial and Management Accounting > General Ledger> Communication for General Ledger.
  • Group: Your Available Financial Reporting Files 
  • Please set the flag at the question: Do you want to enable EU OSS Tax Audit Report?

To be able to create the xml-file an OSS Vat Return must be executed and released in the Tax Management work center.

If this is fulfilled you can create EU OSS Tax Audit Report. 

  1. Go to General Ledger Work Center.
  2. Go to Periodic Tasks.
  3. View EU OSS Tax Audit Report.
  4. Go to New.
  5. Create Tax Audit Report with Reference.
  6. Fill the necessary fields, like Company ID, Auditing Country/Region and Date From /To.
    The Audit Report will be generated for one specific country for e.g.  Austria.

Option 1 - Process and Print

  • At the top of the screen select "Process and Print".
    This means the Data is prepared and an electronic version of the final attachment is created and saved.
    On the General Tab you can find the related OSS Tax Return ID. 

Option 2 - Process 

  • If you hit Process the Run stays "In Process". The Data is only prepared for export.

  1. You can View Results.
  2. On the General Tab you can find the related OSS Tax Return ID 
  3. On Tab: Data Prepared for Export you find the included Customer Invoices.
  4. If you selected Process - there is no attachment on this file.
  5. If you have checked the data you can then hit Print. 
  6. That will set the Run from "In Process" to "Finished" and also create the xml- file.

Cause

The German Tax Authorities only accepts the data in the published Excel® structure.

Therefore the created XML-file needs to be prepared and then you will be able to copy it column by column into the original file specified by the tax authorities. 

Resolution

Steps to prepare the Data to upload to the German Tax Authorities.

  1. Download the xml-file from the attachment of the run.
  2. Open Excel and Go to Data Tab.
  3. Get Data -> From File->From XML
  4. Select the downloaded file and import it.
  5. Then a Navigator will be opened, select the option Select multiple Items.
  6. Then expand and select all the tabs displayed.

  1. Select the button Load To... from the drop down menu.
  2. In the next screen choose Table as shown in screenshot.

  1. This opens the data in various tabs like Customer, General Information_DE, Invoice Details & Services under Queries & Connections.

  1. Now you can change the column names from the technical names to the required names from the authorities.
  2. Under Queries & Connections double click on for example General Information. 
  3. This opens the Power Query Editor.




Now the data needs to be copied column by column into the file published by the tax authorities.

Note: Not all requested information are included in the xml-file. Product Management is in contact with the authorities. There will be changes to this file in the future.
