3574685 - The Recipient Information Determined for a E-mail Activity is not From the Same Account ID Maintained for the Activity

When creating a new E-mail activity and entering the email address of a contact to determine the Recipient Party Role in the Involved Parties tab, the system displays a different Account from the one maintained in the activity in the Address Details of the Recipient Party Role.

SAP Business ByDesign

1. Go to the Account Management Work Center.
2. Go to the Activities View.
3. Select New -> Email.
4. In the From field, enter the desired option.
5. In the To field, enter the Account ABC. (where ABC represents the Account ID)
6. Select Enter in the Keyboard.
7. In the Subject field, enter the desired information.
8. Select View all.
9. Navigate to the Involved Parties tab.
10. Mark the Recipient Party Role.
11. Select Remove button.
12. Select Add Row.
13. Select a new Recipient, enter xxx@example.com. (where xxx@example.com represents the E-mail Address of a Contact)
14. Select Enter in the Keyboard.

The Contact XYZ will be displayed in the UI. (where XYZ represents the Contact ID)

In the Address Details section of the Recipient Party Role, the system displays the Account EDF. (where EDF represents the Account ID)

When the Recipient is entered as a email address of a contact, the Master Data information of the contact will always be pulled from the last Business Partner listed in the Relationships tab of the Contract Information.

In order to check the last Business Partner listed in the Relationship tab of the Contract information, the following steps can be performed:

1. Go to the Account Management Work Center.
2. Go to the Activities View.
3. Select New -> Email.
4. In the From field, enter the desired option.
5. In the To field, enter Account ABC.
6. Select enter in the Keyboard.
7. In the Subject field, enter the desired information.
8. Select View All.
9. Navigate to the Involved Parties tab.
10. Mark the Recipient Party Role.
11. Select Remove button.
12. Select Add Row.
13. Select a new Recipient, enter xxx@example.com (where xxx@example.com represents the E-mail Address of a Contact).
14. Select Enter in the Keyboard.
15. Double click the Contact XYZ.
16. Select View All.
17. Navigate to the Relationships tab.

In the example, the Account ID EDF is displayed as the last Business Partner listed, therefore, when the e-mail address is entered for the Recipient of the E-mail Activity, the information from the Contact XYZ in the Account EDF will be displayed.

This is currently a system limitation.

Our development team has created a Internal Backlog Item to review the scenario in order implement a fix in a future release.

Therefore in order to ensure that the correct information is displayed for a Recipient Party Role entered in a e-mail activity, it is recommended to always use the Contact Name or Contact ID to add the recipient Party Role in a activity.
