Symptom
- During the creation of a sales order (VA01), the system is allowing users to change the Sold-to Party address even though a default address is configured in the Business Partner (BP) master.
- During the sales order creation, instead of fixing the defined default address, the system displays multiple address options.
Environment
SAP S/4HANA Cloud Public Edition
Reproducing the Issue
- Go to VA01 (Create Sales Order).
- Select Order Type: OR.
- Enter Business Partner.
- Observe: A pop-up appears with multiple address options.
- Users can select or change the Sold-to Party address, which is not expected.
Cause
The issue occurs due to multiple addresses being maintained in the Business Partner Master (BP) for the Sold-to Party. SAP standard behavior allows address selection if multiple addresses exist, even if a Standard Address is defined.
Resolution
Solution 1: Delete Unnecessary Addresses in BP Master (Preferred Approach)
If additional addresses are not required, removing them will prevent the system from prompting users to select an address.
Steps:
1. Go to Transaction BP
2. Enter Business Partner
3. Select BP Role: Business Partner (Gen.)
4. Navigate to Address Overview
5. Identify the non-standard addresses
6. Delete the unnecessary addresses:
○ Click Switch Between Display and Change
○ Click the addresses to delete and use the Liner button "Delete Row"
○ Confirm deletion and Save
7. Test in VA01—only one address should remain.
Solution 2: Mark Unused Addresses as Inactive (Alternative Approach)
If deleting is not possible due to system restrictions, you can deactivate the additional addresses.
Steps:
1. Go to Transaction BP
2. Enter BP Number:
3. Open the Address Overview
4. Select the non-standard address
5. Modify the "Valid To" Date to a past date (e.g., 01.01.2024)
6. Save changes and test in VA01
