3585126 - Behaviour of Rehire on Old Employment username with IAS enabled - Onboarding

After a candidate is identified as a Rehire on Old Employment (ROOE) during the rehire verification step, the rehired employee receives a new account activation email from SAP Cloud Identity Services (IAS). The employee already has an IAS account from a previous employment and did not expect to receive this email again.

SAP SuccessFactors Onboarding

1. Initiate Onboarding for a candidate who has a previous employment record.
2. Complete the Onboarding steps until the candidate is synced to IAS and can log in to the system.
3. Trigger rehire verification for the candidate.
4. Identify the candidate as Rehire on Old Employment.
5. Complete the Rehire Data Review step with the personal email address set as Primary.
6. The personal email address receives a new account activation email from IAS.

When Rehire on Old Employment is completed, the candidate's previously inactive IAS profile is reactivated. The real-time sync between SAP SuccessFactors and IAS detects the change in account status and the username update, and IAS treats this as a new activation event. As a result, IAS sends its standard account activation email (the same email sent during initial onboarding to allow the user to set their credentials) to the email address associated with the account.

This behavior occurs regardless of whether the Retain Onboarding Username for Rehire on Old Employment setting is enabled or disabled in Onboarding General Settings:

• With the setting enabled: the username is retained from the previous onboarding. IAS reactivates the existing account and sends the activation email so the employee can confirm their access.
• With the setting disabled: the username may be updated based on the personal email set during Rehire Data Review. IAS sends the activation email for the updated credentials.

This is expected behavior from IAS. The account activation email is the IAS Set Initial Password / Activate Your Account email, which is automatically triggered when an inactive IAS account is reactivated and synchronized during the ROOE process.

No action is required from the administrator. The rehired employee should use the link in the activation email to set or confirm their credentials and log in to the system.

Note: This email is the same type of email sent during the employee's initial onboarding. It is not an error. If the employee does not receive the email, verify that IAS real-time sync is active and that the email address in the system is correct.

Expected Result: After completing Rehire on Old Employment, the rehired employee receives an IAS account activation email. The employee uses the link in the email to set their credentials and logs in to the system to complete the Onboarding process.
