Resolution
It is now possible to configure workflows to approve the proficiency level changes for an attribute. Check the KBA 3595717 - Product Enhancements for Talent Intelligence Hub - 1H 2025 Release to verify when this enhancement will be available in your instance.
Creating a new workflow rule for Proficiency Level Changes on an Attribute
New rule scenario Configure Workflow for Assigned Ratings in the Growth Portfolio is introduced with this enhancement. To configure this new workflow rule, go to:
- Admin Center > Configure Business Rules;
- Click "+" (Create New Rule):
- Expand the "Talent Intelligence Hub" section;
- Select the rule "Configure Workflow for Assigned Ratings in the Growth Portfolio":
- Add Rule Name, ID, Start Date, and Description (Optional);
- Add rule conditions in the "If" section, and statements in the "Then" section. In the example shared in the following screenshot, we have defined that for changes applied to Skills attribute, an workflow is trigger for the user's manager to review:
- Save new rule scenario.
After creating the rule, to make it effective, it is required to assign it to the corresponding target object or entity. In the Business Rules Admin main page, under "Assigned" column you can click the assignment icon of the new rule created, and click on "Assign Rule". You will be directed to the manage Assignment Rule page, where you can associated the new rule created to the target object. More details you can find in Assigning Business Rules.
Changing the Proficiency Level of an Attribute
Now, with the new Business Rule scenario created for changes to the Proficiency Level of an Attribute, users modifying their ratings for the configured attribute in Growth Portfolio, will see a warning message informing them that the changes applied will be sent to the workflow approvers for review. Users can also add comments to the changes being made, so the approver(s) can review:
Once users submit the changes to the attribute, they will see the message "Approval Request Submitted" in the attribute card, and the attribute's proficiency level can't be changed during review process:
When the page is refreshed, users will see the message "Approval Pending" in the attribute card:
They can click the message to open the Workflow Details page to check the changes done, add comments, and see the workflow participants:
After submitted, a change cannot be retrieved by the user, and user will have to wait for workflow participants to act on the changes (approve or decline).
New Card "Changes to proficiency level" available for Workflow Participants (Approvers)
Workflow Participants (approvers) will find a new Approvals Card in their home page, showing changes users made to attributes' proficiency level. In the card, approvers can see information of the user that submitted the change and when it was submitted. Then, approvers can Approve or Approve with Comments directly from the card:
By clicking on the approval card or its title, the approvers will be directed to the Workflow Details page, where they can find complete information on the changes done (Attribute, Attribute Type, Proficiency, and comments). And will have full review action access, to Approve, Delegate the review to another user, or Decline the change request:
If the changes are approved by the workflow participant or delegated user, a new entry in the attribute's timeline will be added:
