3598673 - Why Does Data Workbench (DWB) Show Fewer Records Than the Total Shown in the UI?

Symptom

When exporting a large dataset using the “All Data” option in Data Workbench (DWB), the UI shows a total count (e.g., 10 records), but the actual exported file Excel contains significantly fewer rows (e.g. 6)

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Environment

SAP Cloud for Customer

Reproducing the Issue

  1. Go to Data workbench.
  2. Select export.
  3. Select standard object.
  4. Search for Maintenance Plan Items.
  5. Check all data.
  6. Click in export.

Cause

During the export process, DWB identifies and removes entries with the same ObjectID to prevent duplicate records from appearing in the output file. As a result, the final number of exported records may be lower than the total count shown in the UI or initial preview.

Resolution

This is an expected behavior and is part of DWB's logic to ensure data integrity by avoiding redundant records in the exported file.
