Resolution

LMS Instance Provisioning - Self-Help via SAP for Me:

LMS instance provisioning is now a self-help tool in SAP for me. Apart from BIZX, no other modules are auto-provisioned.

Customers are now given the option to self-trigger the requests for provisioning of all other modules through SAP for me, as and when they are in need of the tenant. Once the customer triggers the request to provision the LMS tenant, our Provisioning team will receive the service request, and the tenants will be provisioned and delivered accordingly with all the necessary details. 

Key Changes from Previous Procedure: 

  • Previous: All booked tenants were automatically provisioned upon the contract start date.
  • New:
    • BizX: Provisioning remains automatic upon the contract start date.
    • All Other Modules (including LMS): Customers must now self-initiate provisioning requests through SAP for Me as needed.

New LMS Tenant Provisioning Procedure:

  • Customer Action:
    • Access the self-help provisioning tool in SAP for me.
    • Self-trigger the request for LMS tenant provisioning.
  • SAP Provisioning Team Action:
    • Receive the triggered service request.
    • Provision the LMS tenants.
    • Deliver the provisioned tenants to the customer with all necessary details.

      • How to Start Provisioning in SAP for Me

        1. Go to SAP for Me > Systems & Provisioning
        2. Click the Provisioning tab (direct URL https://me.sap.com/systemsprovisioning/provisioning)
        3. On the Systems to be Provisioned card, find the relevant system by product and system role, and start provisioning.
          • You can start provisioning any time before the contract Start Date. The tenant will be provisioned on the contract Start Date.
          • Select a material in the Materials column to expand the row to see details of license materials, entitled quantity, Contract ID, and duration.
        4. Click Start Provisioning
          • If the button is inactive (greyed out), see KBA 3084213
        5. Click Submit in the Start New Provisioning Request confirmation popup.
          • On the Provisioning Status card 
            • The Status changes to PROVISIONING TRIGGERED, and corresponding information in the Triggered on and Triggered by columns is updated.
            • When provisioning is complete, the status changes to PROVIDED and the provisioned entity's system number is displayed in the Provisioned System column. Note: if needed, refresh your browser.
            • Click the newly provisioned system to access more detailed information about the provisioned environment (system).
          • In both cards (Systems to be Provisioned and Provisioning Status), you can search by product and system role. In the Provisioning Status card, you can also search by system number or filter by status.

        In case of any issue while provisioning, create a case for component XX-SER-FORME, stating the issue and attaching any relevant screenshots and/or steps to reproduce.

    • Issues with S-user ID or SAP for Me Options:
      • Refer to SAP Knowledge Base Article (KBA) : 3084213 - Cannot access Provisioning or the Start Provisioning button is grayed out - SAP for Me
      • In order to click the Start Provisioning button in the Provisioning application, the S-user ID must be given the Edit Cloud Data authorization at the customer number level or CCC level. Or, set on individual installation number(s) to restrict access. Whereas, viewing/displaying open entitlements or provisioning status, users only need Display Cloud Data or Edit Cloud Data.

        To request authorizations, contact the administrators listed on the My Important Contacts page or use the self-service authorization request feature according to KBA 2891528.

For iContent account creation: 

An iContent SFTP account is mandatorily created with production tenant in every initial order and the rest of LMS tenants from the same order/Entitlement set ID would ideally be configured with the same iContent SFTP account path.

To initiate iContent account creation, customers must first ensure that both production and non-production LMS instances are provisioned. Following the successful provisioning of both requested LMS instances, a request for iContent account setup can be logged under the LOD-SF-LMS component, provided the account does not already exist.
