3614423 - Learning-only User Creation Process for non-IAS enabled tenants post 2H 2024 release

Symptom

As of the 2H 2024 release, in preparation of the 1H 2025 (b2505) removal of the ability for Learning-only users to be managed in Learning Administration directly; if IAS (Identity Authentication Services) is not set up in Learning (SF LMS) for external Learning-only users, what is the process for creating Learning-only users?

Resolution

Learning-only users should not be created unless you have implemented Learning IAS, please follow the guide if Learning-only users are required.

If Learning-only users are not required and all users are managed via HCM (Employee Central or Employee Profile), please remove the Add User permission from the admin roles. To do this:

  1. Go to Learning Administration > System Administration > Security > Role Management
  2. Search and edit the admin roles
  3. Go to the Permissions tab > cascade the People Management section
  4. Select the Add User permission and Apply Changes to remove it from the role

If a Learning-only user is created post 2H 2024 in a tenant that does not have IAS, the user will be created with a User Source System of "Platform" and is not considered a Learning-only user. The user account cannot be deleted until the User Source System is updated. To change the User Source System:

  1. To create the import file, go to Learning Administration > System Administration > System Management Tools > Import Data and download the template for Entity Type “User” and populate the template with all users that you wish to convert from User Source System of SuccessFactors Platform to Learning. User Source System will not appear as an available column in the template as this will be set when you import.

  2. Choose the following for the Import Data tool:
    • Action: Select Import Data
    • Record Type: Select User
    • Import Option: Select Correct User Source System
    • User Source System: Select Learning
  3. Submit
  4. Go to People > Users > Search for the users. The Field Chooser option in the search results can be modified to add the User Source System in the results to validate that the source system was updated.
  5. Access the user record > Actions menu on the top right hand corner > Delete
  6. Optional: Run the Purge Deleted User Audit History automatic process to fully purge the user from the Learning tenant
