Error message: "Status of project task not 'started' or 'Released'." on purchase order

Environment

Reproducing the Issue

  1. Create a purchase order with 2 items, the first item link to project task A, and the second item link to project task B.
  2. The first item has been received, and invoice has been created. Hence, the first item status is "Finished".
  3. Afterwards, project task A (linked to item 1) has been completed.
  4. Then the item 2 is modified by user, e.g. changes price.
  5. This triggers a new approval and when approving, system gives error: "Status of project task A not 'started' or 'Released'."

Cause

You are using the purchase order header approval not item level approval. System will consider and compare the overall purchase order item condition, not only just one item. Since for the purchase order header level approval, once it is approved, it changes the overall status on purchase order header, not on individual item.

Resolution

In order to achieve the requirement in this certain business scenario, please use purchase order item approval instead of header level re-approval.

A purchase order item level approval is triggered when there is any change in line item with respect to quantity, price or cost assignment. In this case the changed item is sent for approval to the respective line item approver as per the purchase order item level configuration.

Once it is configured, system will consider the item level condition only, not the overall status for each item.
