3624176 - After Run a Reminder Run for Time Approval, One Approver Receive Multiple Generic Emails

Symptom

After running a reminder run for time approval, it is desired that one approver will only receive one generic e-mail but the same approver receives more than one generic e-mail. 

Note: Since 2502 HC 02,  if the reminder run should trigger a generic e-mail, question "Encryption and Signatures for E-Mails" should be descoped in Business Configuration. Otherwise, the reminder run will trigger an e-mail with detail information for each time entry waiting approval to the approver.

Reproducing the Issue

  1. Go to Time Administration -> Reminders for Time Approvals.
  2. Choose a Reminder. If no Reminder exists, click New Reminder and create one.
  3. Click Schedule Reminder.
  4. Schedule a reminder run or run a reminder run immediately.
  5. After the run is completed, the approver receives multiple generic e-mails.

Cause

This is a designed system behavior.

The "Reminder for Time Approvals" job runs at a scheduled interval. Each time it executes, it gathers all time entries currently in the "In-Approval" status and sends them to the respective managers via email.

To manage large volumes efficiently, the system processes these entries in batches of 100. If there are more than 100 entries, multiple emails will be generated—one for each batch. For example, if there are 1,000 time entries, the system will send 10 separate emails, each containing 100 entries, until all are processed.

This batch-based approach ensures that all entries are included and notifications are sent without overloading a single email.

Resolution

The reminder job can club maximum 100 entries in one generic e-mail and send the notification. So, if there are more than 100 time entries (e.g. 150) waiting for approval of a approver, it is sending two emails where one email for 100 entries and other email for 50 entries. This often happens when the e-mail has been configured in Business Configuration that all e-mails should be triggered to one-email id. 

Note

  • If related approval tasks are missing, they were likely created before the recent hotfix (HF). Its is still possible to perform the required approval.
  • Instruct managers to review and approve older times as soon as possible to prevent a backlog.
  • If the feature is descoped, generic email notifications will be sent to managers - just as it happened before the HF was implemented.
