3624540 - Sales Order Error – "Enter a Valid Retail Site" (Message no. RFM_STORE_SO_MANAGE052) in SAP S/4HANA Cloud Public Edition

Symptom

Users with retail roles receive the following error when creating a sales order:

  • Message no. RFM_STORE_SO_MANAGE052
    "Enter a valid retail site"

This occurs even though the plant entered in the sales order appears to be valid and properly configured.

Environment

SAP S/4HANA Cloud Public Edition

Reproducing the Issue

  1. Log in with a Retail Role
    • Ensure the user has a retail-specific business role assigned (e.g., Store Clerk or Retail Store Associate). This step is important, as only users with retail roles are impacted by this error.
  2. Create a Sales Order
    • Navigate to Create Sales Order (App or transaction VA01, depending on system setup).
    • Select an order type (e.g., OR – Standard Order).
    • Enter the required organizational data, such as Sales Org, Dist Channel, Div:
  3.  Enter Sales Order Data
    • Sold-to Party, Ship-to Party, Customer Reference, Material, Quantity, etc 
  4. Save the Order
  5. Observe the Error

The system will display the following message:

"Enter a valid retail site"
Message no. RFM_STORE_SO_MANAGE052

Cause

This error is triggered when a user is assigned to a specific retail site (store) using the “My Store Assignment” Fiori app.

Once a store is assigned, the system enforces a restriction: the user is only allowed to create sales orders for that assigned store. Attempts to use other plants or stores will result in error RFM_STORE_SO_MANAGE052.

Resolution

 Option 1: Unassign the Store
If the user needs to create sales orders for multiple stores, you can remove the assignment in the “My Store Assignment” app. When no store is assigned, the restriction does not apply, and the user can process orders for any valid retail site (subject to authorizations).

Option 2: Change the Assignment
Reassign the user to a different store (e.g., the store related to the plant they need to transact with).

Option 3: Consider Multiple User IDs (if needed)
If business requirements demand users to manage multiple stores, one approach is to create separate user IDs, each assigned to a different store. This allows full compliance with store-specific access restrictions while working within current system limitations.

Limitation

As of the current S/4HANA Cloud release, the “My Store Assignment” app only supports one store per user. Assigning multiple stores to a single user is not supported in the Public Cloud version. There is no current standard configuration to bypass or extend this.
