3630477 - Document Purge does not work in Onboarding 1.0

Symptom

Document Purge has been configured in the Onboarding 1.0 Dashboard with valid Purge Rules, but the documents do not appear to be purging as expected based on the defined rules.

Reproducing the Issue

KBA on how to properly configure Document Purge in Onboarding 1.0 was followed: 2261034 - Document Purge Functionality - Onboarding 1.0 - SAP for Me

Cause

After copying a Production instance to a Preview environment, documents from the Production instance are visible in the Document Center of the Preview account.

When an environment is copied from Production to Preview, the SharePoint (SP) document database configuration may still point to the Production database. As a result, documents processed in the Production environment can appear in the Document Center of the Preview instance.

Resolution

To ensure correct behavior, the SharePoint database configuration must be updated to point to the Preview document storage database. Once corrected:

Only documents processed within the Preview instance will appear in the Document Center.
Documents from the Production environment will no longer be visible.

There is no need to manually purge the documents, as they are not stored in the Preview database and are only shown due to the misconfigured pointer.

This issue typically occurs right after an environment refresh (copy). Customers are advised to verify backend configurations, especially for document storage, to avoid confusion with cross-environment data visibility.
