3630606 - Unable to Update Exchange Rates Via Excel in General Ledger

Symptom

Users are unable to update Exchange Rates via Excel using the SAP Excel Add-In. The Error Message displayed is: "You are not allowed to update Exchange Rates." Users are able to update Exchange Rates directly in the User Interface (UI) but not through Excel.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Download an Excel template for updating Exchange Rates:
  2. Navigate to the Application and User Management work center.
  3. Access the Microsoft Office® Template Maintenance subview in the Business Flexibility View.
  4. Search for and select the "New Exchange Rates" Template.
  5. Click "Download."
    • Open the provided Excel Template.
    • Login through SAP Excel Add In via Business User ABC (where ABC is the Business User ID).
    • Maintain the relevant Data Sets.
    • Press Save Data to.
    • The User get an error message: You are not allowed to update Exchange Rates.

    Cause

    • The issue arises due to Segregation of Duty conflicts in the Work Center and View Assignment for the affected Business User ID ABC. These Segregation of Duty Conflicts (e.g. for FIN_JOURNALENTRYVOUCHERSGL) need to be solved first.
    • Specific Views required for updating Exchange Rates via Excel are not assigned to the Business User ID ABC.
    • Additionally, the Excel file used for the Update might have Data copied from another source, which may cause formatting issues.

    Resolution

    • Resolve the Segregation of Duty Conflicts for Business User ID ABC (e.g. for FIN_JOURNALENTRYVOUCHERSGL).
    • Assign the following Views to the User's Business Role, depending on the Solution Profile:
      1. Exchange Rates for Foreign Currencies.
      2. Edit Exchange Rates.
      3. Update Exchange Rates.
    • The Data might not have been manually entered into the Excel File, but rather copied from another source. To resolve this issue, download a fresh new Template and enter the Details by manually typing them in to ensure proper formatting.
    • Retry the update process using the corrected Template and the SAP Excel Add-In.
