3632193 - Error In Service Order Release Due to Incorrect Partner Reference in SAP S/4HANA Cloud Public Edition

Symptom

Service orders in SAP S/4HANA Cloud cannot be released. The system raises the following error during release:

  • "Assign a plant and storage location to the employee."

This occurs even though a business partner (BP) is assigned as the Employee Responsible.

Environment

Reproducing the Issue

  1. Navigate to the Manage Service Order app and open the Service Order.
  2. Go to the "Error Log" tab and locate Item.
    • Observe the error: "Assign a storage location and plant to the service employee."

Cause

This issue occurs when the employee assigned in the service order was created manually via the Create Business Partner app, rather than through the Manage Workforce app or its data import function.

Manually created BPs:

  • Do not receive the required Employee role (BUP003)

  • Are not linked to a work agreement

  • Are not eligible for assignment in SSCUI 102883

  • Cannot be used for logistics-integrated partner functions such as service execution

As a result, the system is unable to resolve plant/storage location data for these BPs, which is mandatory for service order release.

Resolution

Solution:
Recommended Long-Term Fix:
Ensure that all employees involved in service orders are created via the Manage Workforce app or the Workforce Import template.

Steps:

  1. Use the Manage Workforce app to create the employee with a work agreement.
  2. Maintain plant/storage location in SSCUI 102883.
  3. Use the newly created employee in the service order.

Workaround Options for Impacted Service Orders:
If service orders are already assigned to invalid BPs:

Option 1 – Cancel and Recreate Service Orders (Recommended):

  1. Cancel the impacted orders.
  2. Create new orders referencing a valid employee (from Manage Workforce).
  3. This ensures clean system behavior and avoids future data conflicts.

Option 2 – Replace Employee in Existing Order:

  1. If editable, change the employee responsible in the service order to a valid one.
  2. This is only possible before status "Distributed" or follow-up documents exist.
