3634180 - How to Identify Inactive Users and Manage Activity Log Storage in SAP Analytics Cloud?

Symptom

The administrator wants to identify inactive users in the SAP Analytics Cloud (SAC) tenant, but the data is incomplete or missing. The administrator also wants to understand the Activity Log behavior and upcoming log retention configurations.

Environment

SAP Analytics Cloud 2025.8.6

Resolution

Prerequisite: You must have either the BI Admin or Admin role in the tenant.

1. How to View Inactive Users

  1. Navigate to System > Overview.

  2. Go to Housekeeping > License.

  3. Modify the Last Activity Timestamp filter (we recommend adding at least one extra month to cover a safer time range).

  4. Choose a license type or select "All Access" to view all users.

  5. If the list returns no data or only partial data for the selected period, this may indicate log deletion.

2. How to Check If Activity Logs Were Deleted

  1. Navigate to Security > Activities.

  2. Click the Filter icon.

  3. Under Object Type, search for "Activities Logs".

  4. Use the search bar to further refine your query.

This view will show if:

  • The activity logs were deleted or downloaded, and

  • Which user performed the action.

Note: If data was deleted multiple times, only the most recent deletion activity will appear in the logs.

3. Activity Log Retention and Automatic Deletion

Each SAP Analytics Cloud (SAC) tenant can store up to 500,000 rows in the Activity Log by default. Customers may request an increase to 1 million rows or configure retention by a one-year period, as described in KBA 2781343. When this limit is near:

  • Final notifications are issued,

  • The oldest log entries are deleted automatically to remain within storage limits.
