3637089 - Connectors automatically create Reference IDs for referenced custom columns

Symptom

In the connector's input file, a value for a referenced custom field has been provided. This value isn't present in the list of Reference IDs of the custom field. After the connector runs and consumes the file, a new Reference ID was created automatically, reflecting the information provided in the input file. Is this expected?

Cause

This is the application's expected behavior. Whenever a value that doesn't exist yet as a Reference ID is provided, the system automatically creates an entry for it and updates the respective entity (item, user, etc.) accordingly.

When existing References are provided in the input file for its referenced custom field, then no new entry is created and the system only updates the respective entity.

Resolution

Currently, there is no configuration to prevent the system from automatically creating Reference IDs when new values for reference custom fields are provided through the import file.

Additionally, the description of Reference IDs cannot be added nor updated in bulk. This means it can only be edited through the UI.

To have a different system behavior, it would be possible to have an enhancement request created for it (as per KBA 2090228), where the Learning Product Management team can further review and assess the requested functionality to be considered in a future release.
