3638459 - Time Forms in Self-Service: Generating Time Forms for absences older than 12 months is not supported

Users would like to view absence records older than 12 months, particularly to reference sick leave from the previous calendar year, via the Time Form in Employee Self-Service.

1. Log in as an employee

2. Navigate to Employee Profile > Time Management Section > Time Forms

3. Click Generate Time Form

4. Attempt to retrieve absence records older than 12 months

5. Observe that no records are displayed beyond the 12-month limit

This is working as designed.

In Employee Self-Service, the time selection window is limited to:

• 12 months in the past

• 12 months in the future

This behavior is controlled via the fields:

• Maximum Duration for Data Selection Period in Past

• Maximum Duration for Data Selection Period in Future

You can find and configure these fields under: Manage Data > Time Form Eligibility

Please note: The system does not allow setting the time window beyond 12 months or 366 days.
A validation error will be shown if you attempt to exceed this duration:

“You should select a duration not greater than 366 days.”

However, in the Admin scenario (via Administer Time UI > Time Forms > Generate Time Forms), the system does allow fetching absence data beyond 12 months in the past and future.

Recommendation:

If extending this time window for Employee Self-Service is a critical requirement, we recommend submitting an enhancement request.
