Symptom
New documents/forms unexpectedly appear in the system (Maintain Onboarding and Offboarding Templates), even though no recent document configuration changes were made by the admins in the affected instance

Reproducing the Issue
- A form or document is uploaded or updated in one environment (e.g., development).
- The same document unexpectedly appears in another environment (e.g., production), even though no upload activity was performed there.
- No audit trail or logs indicate a document upload from within the affected environment.
Cause
- The root cause is typically due to shared PFS credentials across multiple environments. If the same PFS User ID and URL are used in more than one instance (e.g., dev and prod), document changes in one environment can reflect in another.
- Other cause would be in such scenarios when an instance refresh is performed, for example, refreshing a test instance from production. In such cases, the PFS credentials from the source (e.g., production) may be copied into the target environment, causing documents generated in the refreshed instance to inadvertently upload to the original such environment or PFS credentials may be overridden.
Because the Print Forms Service is external to the instance environment, it does not differentiate between environments using the same credentials, leading to cross-environment document updates.
Resolution
- At present, there is no audit trail available in the system that would allow us to definitively trace this update. Due to the absence of logging for changes made via Provisioning, we are unable to verify the source internally or would not be exposed.
- At this point, our best recommendation is to ensure that PFS credentials are unique and isolated across all instances (e.g., preview, development, production). Using the same credentials across environments can increase the risk of unintentional overwrites or misconfigurations, especially during implementation or release activities.
