Symptom

  • What happens if I-9 Section 3 reverification has already been completed offline through a third-party system, but a manual I-9 reverification is still triggered in SAP SuccessFactors Onboarding?
  • Will the system create a duplicate record or recognize the existing offline completion?
  • Are there any compliance implications in this scenario?

Resolution

SAP SuccessFactors Onboarding does not have visibility into I-9 reverifications completed outside the system. Therefore, triggering the process in Onboarding for an employee who has already completed it offline will create a duplicate activity. 

If the I-9 reverification has already been completed offline and the signed documentation is preserved according to compliance requirements, the customer remains compliant and does not need to repeat the process in SAP SuccessFactors Onboarding.

  • Recommendation: Avoid triggering the manual reverification in Onboarding if it has already been completed offline, unless there is a specific operational need to have the record in the system.

  • If both offline and system reverifications are performed, they will be handled as separate records and will not be automatically merged.
