3644279 - Two Time Accounts of the Same Time Account Type are Created for a User Upon Hire

Symptom

When a user is hired at the beginning of the year, the system creates two time accounts of the same time account type.

  • The Account Valid From [Day] & Account Valid From [Month] fields in the relevant time account type have been configured in such a way that the Account Validity Start date is in the middle of the year e.g. 1st September; (Account Valid From [Day]: 1 & Account Valid From [Month]: 9).
  • Automatic Account Creation has also been enabled in the relevant time account type.

Reproducing the Issue

  1. Configure a time account type in such a way that hat the Account Validity Start date is in the middle of the year e.g. 1st September; (Account Valid From [Day]: 1 & Account Valid From [Month]: 9).
  2. The Account Creation Automation field in the time account type has been set to 'Automatic Account Creation'.
  3. Hire a user at the beginning of the year, e.g. 9th of January 2025 and assign them a time profile that contains the time account type.
  4. Go to Administer Time for this newly hired user. See that two time accounts with the same name but different validity periods have been created.

Cause

As the time account type has been configured to create a time account starting on September 1st of the current year, a time account with the validity period of Sep 1, 2025 – Aug 31, 2026 will be created.

However, as the user's initial hire date was in the beginning of the year, e.g. 9th Jan, 2025, another time account that covers the period before the defined period of Sep 1, 2025 – Aug 31, 2026 will also need to be created upon hire (i.e. with a validity period of Jan 9, 2025 – Aug 31, 2025) as the user needs a time account to request time off from. 

The system effectively creates time account for the defined period Sep 1, 2025 – Aug 31, 2026. It will also check to see if the period between the user's hire date and Sep 1, 2025 has been covered and hence creates the second time account with a validity period Jan 9, 2025 – Aug 31, 2025.

Resolution

This is expected behaviour.
