Symptom
In the Compliance Form for India, the fields for First Name, Last Name, and National ID are expected to be correctly mapped and auto-populated. However, these fields are currently not populating automatically as intended.
Environment
SAP SuccessFactors Onboarding
Reproducing the Issue
- Log in as the candidate.
- Complete the Personal Data Collection step.
- Open and attempt completing the Compliance Tasks.
- The required fields are empty and not auto-populated.
Cause
The fields in question are not auto-populated from the candidate’s personal details because the information must exactly match the details on the individual's Aadhaar card. Any discrepancies can lead to rejection of the EPF declaration.
Resolution
Investigation:
When navigating to Manage Data > Compliance Form: IN_EPF_FORM11_2024_V2, in the metadataForFormFields section, it is observed that the fields: IN_EPF_PAN_NUM, IN_EPF_EMAIL_EC, and IN_EPF_EMP_DOJ_ER are sourced from Prepopulated Employee Central Fields Metadata. All remaining fields are sourced from Form Fields Metadata
If the source is Prepopulated Employee Central Fields Metadata, the fields will be auto-populated.
If the source is Form Fields Metadata, the fields must be manually filled in by the onboardees.
Solution:
The design aligns with the requirements provided by the Country Product Team.
The mismatches cause significant issues, requiring urgent corrections within a limited timeframe. In some instances, failure to correct the data promptly resulted in delays in making timely EPF contributions for the candidate.
Additionally, auto-populating these fields increases the risk of oversight by candidates. For example, a candidate may assume that both "Raj K" and "Raj Kiran" are valid, but only one version may appear on the Aadhaar card. Manual entry ensures that candidates consciously verify and enter their details as per official documents, thereby supporting compliance with EPF requirements.
Apart from Aadhaar details, if the PAN card information is maintained in the National ID portlet, it will be automatically copied to the corresponding field in the Form 11.
For these reasons, the current design will be maintained. The relevant fields will remain mandatory and blank by default, requiring users to manually enter information that exactly matches their Aadhaar details. Since this behavior applies specifically to Indian compliance forms, it is considered expected and is currently recognized as a product limitation for these forms.
